State-of-the-Art Project Review and Implementation

Discovery – Every project begins with one or more collaborative discovery sessions designed to fully understand your business needs, goals, pain points, potential benefits, costs, and risks. These sessions focus on both short- and long-term objectives, as well as project timing and resource constraints.

During discovery, we’ll ask the right questions to design a solution that aligns with your priorities. These sessions form the foundation for all that follows—including the project proposal, cost estimate, implementation plan, project management approach, and ongoing support needs (if applicable).

Proposal –Following discovery, we develop a comprehensive proposal that outlines the solution, project phases, and implementation strategy. For larger or more complex initiatives, we may recommend a phased approach for budgeting or prioritization purposes.

The proposal typically includes:

  • A summary of the problem to be solved, the agreed-upon solution, and an implementation overview

  • Chosen project management methodology (Agile or Waterfall), with clear phase dependencies

  • Project team structure and stakeholder roles—on both the PDL and client sides

  • Change management approach, key milestones, and risk mitigation strategies

  • Security requirements and implications

  • Assumptions and clearly defined out-of-scope items

  • Timeline and budget estimates—based on either a fixed-fee or per diem pricing model

Development and Implementation –With a clear plan in place, our team begins development—either on-site or remotely, based on your preferences. A deeper technical discovery may occur at this stage to validate earlier assumptions and ensure no critical detail is overlooked.

As experienced project managers and systems analysts, we ensure every feature is aligned with a business objective. Your team will be involved throughout, shaping functionality and user experience.

Our implementation process includes:

  • Regular updates, status meetings, and clear communication throughout the development cycle

  • Unit, alpha, and beta testing at key stages of the build

  • A user acceptance testing (UAT) environment for stakeholder review and feedback

  • Production deployment scheduling to minimize business disruption

  • Identification and delivery of training needs and support models

  • Optional ongoing maintenance agreements or one-off support offerings

Closeout & Debrief – Upon project completion, we conduct a formal closeout and debrief session with all relevant stakeholders. We review project outcomes, lessons learned, outstanding issues, and opportunities for continuous improvement.

We’ll also discuss future training needs, system maintenance, and support options to ensure long-term success.
